Booking & Cancellation Policy

Effective for all confirmed staffing engagements.

This policy explains how CrestHaus Staffing Group confirms bookings and how cancellations, reductions, and changes are handled. It is incorporated into the Client Service Agreement. Clear notice protects everyone: it lets us place dependable Staff, and it lets our team plan around your event.

1. Booking & Confirmation

  • Submit staffing needs through a CrestHaus Staffing Request or by confirmed written communication.
  • We recommend booking at least seven (7) days before your event. Requests inside 48 hours are accommodated subject to availability and may carry a rush surcharge.
  • A booking is confirmed only when CrestHaus issues a written confirmation specifying roles, headcount, rates, call times, and location.
  • A deposit of 25% of the estimated engagement total may be required to secure Staff. The deposit is applied to the final invoice.

2. Minimums & Scheduling

  • A four (4) hour minimum applies per Staff member, per shift.
  • Call times include arrival for briefing and set-up; billing begins at the confirmed call time.
  • Extensions on-site are accommodated where possible and billed in 30-minute increments, with overtime applied as required.

3. Cancellation Schedule

Cancellation fees are based on the notice received before the confirmed call time. Fees are calculated on the affected portion of the booking (the Staff or hours cancelled).

4. Reductions & Changes

  • Reducing confirmed headcount is treated as a partial cancellation and follows the schedule above for the removed positions.
  • Increases to headcount or hours are accommodated subject to availability and confirmed in writing.
  • Changes to date, time, or location are treated as a new request; the original booking may be subject to cancellation fees if the change cannot be met.

5. On-Site Conditions

  • Client provides a safe and lawful work environment, reasonable access to facilities, and breaks consistent with law.
  • If Staff are released early, the four-hour minimum still applies and confirmed hours are billed.
  • If an unsafe condition prevents Staff from working, CrestHaus may withdraw Staff; the engagement is billed as worked.

6. Weather & Force Majeure

If an event is cancelled due to circumstances beyond either party's reasonable control—including severe weather, government order, or public emergency—CrestHaus will work in good faith to waive or reduce cancellation fees or to reschedule, provided notice is given as early as possible. Force-majeure relief is offered at CrestHaus's reasonable discretion and does not waive amounts for Staff already dispatched.

7. CrestHaus Obligations

If CrestHaus cannot fill a confirmed position, we will promptly notify Client, work to source a qualified replacement, and credit any unfilled position. CrestHaus does not charge for positions it does not fill.
